Shipping & Delivery Policy

HSE Prompts SA sells exclusively digital products. We do not ship physical goods. Every product you purchase is delivered as an instant PDF download — no waiting, no courier fees, no import duties, no physical address required.
1. How Delivery Works
All products sold by HSE Prompts SA are digital PDF ebooks delivered electronically via a secure download link. Delivery is governed by section 43 of the Electronic Communications and Transactions Act 25 of 2002 (ECT Act), which defines electronic delivery as complete when the digital content is made available to the consumer.

2. Delivery Timeframe
2.1 Standard delivery
In the vast majority of cases, your download link will be available within 2 minutes of successful payment. Our system is automated and operates 24 hours a day, 7 days a week, including South African public holidays.
There is no cut-off time for digital orders. You can purchase and receive your handbook at 2am on Christmas Day and it will be delivered instantly.
2.2 Delayed delivery
In rare cases, delivery may be delayed due to:
• High transaction volumes causing brief processing delays (typically under 15 minutes);
• Your email provider filtering our automated email to a spam or junk folder;
• Incorrect email address entered at checkout;
• Temporary disruption to Shopify's automated delivery system.
If you have not received your download link within 30 minutes of payment, please:
• Check your spam, junk and promotions folders;
• Search your inbox for an email from noreply@shopify.com or monique@safetyark.co.za;
• Log in to your account at hseprompts.co.za to access your order and download link directly;
• Contact us at monique@safetyark.co.za with your order number if the issue persists.
3. Delivery Cost
Digital delivery is completely free of charge. There are no:
• Shipping fees;
• Handling charges;
• Courier or postal fees;
• Import duties or customs charges;
• VAT on the delivery itself (VAT, where applicable, is included in the product price).
4. Where We Deliver
4.1 Worldwide delivery
Because our products are digital, we can deliver to any country in the world with an internet connection. There are no geographic restrictions on purchasing or downloading our products.
4.2 Primary market — South Africa
Our handbooks are written specifically for South African HSE professionals and are aligned to South African legislation (OHSA, MHSA, SANS standards and ISO). While internationally accessible, the content is South Africa-specific.
4.3 Currency
All prices are displayed and charged in South African Rand (ZAR). International buyers purchasing from outside South Africa will be charged in ZAR, and their bank or card provider will apply the applicable exchange rate. We do not charge any currency conversion fees — any conversion costs are between you and your financial institution.
5. Accessing Your Download After Purchase
5.1 Download link validity
Your download link is valid for 30 days from the date of purchase and allows a limited number of download attempts (typically 5 attempts). If your link has expired or you have exceeded the download limit, contact us and we will reset your access at no charge.
5.2 Accessing via your account
If you created an account at checkout, you can access your downloads at any time by logging in to hseprompts.co.za and navigating to your order history. We recommend saving the downloaded file to your own device or cloud storage as a permanent backup.
5.3 Compatible devices and software
Your PDF handbook can be opened on:
• Any smartphone or tablet — Android or iOS — using a free PDF reader app (Adobe Acrobat Reader, Google PDF Viewer, Apple Books);
• Any Windows or Mac computer using Adobe Acrobat Reader (free), Microsoft Edge, Chrome, or any other PDF viewer;
• Any e-reader device that supports PDF format.
No specialist software is required. If you experience difficulty opening the file, contact us and we will assist you. Common issues are resolved by downloading the latest version of Adobe Acrobat Reader (free at adobe.com).
6. Failed, Incomplete or Corrupted Downloads
If your downloaded file is corrupted, incomplete, or will not open correctly, this qualifies as a defective product under section 56 of the Consumer Protection Act 68 of 2008. You are entitled to:
• A replacement download at no charge; or
• A full refund, if we cannot deliver a functional replacement within 24 hours.
To report a download issue, email monique@safetyark.co.za with:
• Your order number;
• A description of the error or problem;
• A screenshot of the error message, if applicable;
• The device and PDF reader you are using.
We will respond within 2 business days and resolve all technical delivery issues as a priority.
7. Re-delivery and Lost Downloads
We understand that files can be accidentally deleted or devices can be lost. While our download links are time-limited for security reasons, we will assist you as follows:
• Within 30 days of purchase: we will re-send your download link on request at no charge;
• Between 31 days and 12 months after purchase: we will re-issue your download link on request, subject to verification of your original purchase, at no charge;
• More than 12 months after purchase: re-delivery requests are handled on a case-by-case basis. We recommend all customers save a permanent copy to personal cloud storage (Google Drive, Dropbox, iCloud) immediately upon download.
We strongly recommend saving your downloaded PDF to at least two locations — for example, your laptop and Google Drive — immediately after purchase. Download links are time-limited and devices can be lost or replaced.
8. Receipts and Tax Invoices
A receipt is automatically emailed to you upon successful payment. If you require a formal VAT tax invoice (for expense claim or employer reimbursement purposes), please email monique@safetyark.co.za with:
• Your order number;
• Your full name or company name;
• Your company VAT number (if applicable).
We will issue a tax invoice within 2 business days of your request. Tax invoices are issued in accordance with section 20 of the Value-Added Tax Act 89 of 1991 where applicable.
9. Corporate and Bulk Orders
If you are purchasing on behalf of a company or would like to purchase multiple licences for a team or department, please contact us before placing your order:

We offer volume pricing for 5 or more licences and can arrange invoicing and EFT payment for corporate buyers who cannot use a credit card online. We can also issue a formal purchase order-based invoice if required by your procurement department.
10. Your ECT Act Rights
In terms of section 43 of the Electronic Communications and Transactions Act 25 of 2002, you have the right to:
• Receive acknowledgement of your order immediately after placement;
• Cancel your order before it has been accepted and delivery has commenced (see our Refund Policy for full details);
• Be provided with clear information about the product and its delivery method before purchase — this policy fulfils that obligation.
